Privacy Policy
This Privacy Policy explains how Trio Well-Being collects, uses and protects your personal information when you visit our website, make an enquiry, or work with us. We are committed to handling your data lawfully, transparently and with the care you would expect from a professional therapeutic service.
Who we are
Trio Well-Being is a counselling, personal training and nutrition practice run by Mathew Roderick (MBACP). For the purposes of UK data protection law, Trio Well-Being is the “data controller” responsible for your personal information. If you have any questions about this policy or how your data is handled, you can contact us at mathew@triowell-being.com.
The information we collect
- Enquiry details — when you complete our enquiry form or email us, we collect your name, email address and the details of your message.
- Booking information — if you arrange a call or session, we collect the information needed to schedule and manage that appointment.
- Client records — if you become a client, we keep confidential notes relating to your sessions. This may include health and wellbeing information, which is treated as “special category” data and given the highest level of protection (see below).
- Technical and usage data — like most websites, we collect limited technical information such as your browser type and how you use the site, through cookies and similar technologies. See our Cookie Policy for details.
How we use your information, and our lawful basis
We only use your information for clear, legitimate purposes:
- To respond to your enquiries and arrange consultations — on the basis of taking steps at your request before entering into a contract, and our legitimate interest in responding to you.
- To provide our services and manage your care — on the basis of our contract with you.
- To keep accurate, confidential records — as necessary for the provision of health care and to meet our professional and insurance obligations.
- To maintain the security and performance of our website — on the basis of our legitimate interests.
Health and other sensitive information
As a therapeutic practice, some of the information we hold about clients concerns your health and wellbeing. We process this “special category” information only where you have given your explicit consent, or where it is necessary for the provision of health care. Your sessions are confidential and handled in line with the ethical framework of the British Association for Counselling and Psychotherapy (BACP).
There are limited circumstances in which we may need to share information without consent — for example, where there is a serious risk of harm to you or someone else, or where we are required to do so by law. Where this is ever necessary, we will always seek to discuss it with you wherever it is safe and appropriate to do so.
Who we share your information with
We do not sell your personal information, and we never share it for marketing purposes. We use a small number of trusted service providers to run our practice — for example, secure website hosting, email and online booking. These providers act on our instructions and are bound to keep your information confidential and secure. We may also disclose information where we are legally required to, or to protect the safety of our clients or others.
How long we keep your information
We keep your information only for as long as necessary. Enquiry correspondence that does not lead to ongoing work is kept for a limited period and then deleted. Where you become a client, we retain confidential records for the period recommended by our professional body and required by our insurers, after which they are securely destroyed.
Keeping your information secure
We take the security of your information seriously and use appropriate technical and organisational measures to protect it against unauthorised access, loss or disclosure. Confidential client records are stored securely and access is strictly limited.
Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information, where there is no overriding legal or professional reason to retain it;
- object to, or ask us to restrict, certain uses of your information;
- withdraw your consent at any time, where we rely on consent; and
- request a copy of certain information in a portable format.
To exercise any of these rights, please contact us at mathew@triowell-being.com.
Complaints
We hope to resolve any concern you have about your data directly. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk.
